A RESOLUTION OF THE MAYOR AND CITY
COMMISSION OF THE CITY OF SOUTH MIAMI,
FLORIDA, AUTHORIZING THE CITY MANAGER TO
ENTER INTO AN AIR CONDITIONING REPAIR AND
MAINTENANCE AGREEMENT WITH CENTRAL
SERVICE AND SUPPLY, INC. FOR AN AMOUNT NOT
EXCEED $3,000 FOR THE CURRENT FISCAL YEAR
AND CHARGING THE DISBURSEMENT TO
ACCOUNT NO. 1710 4670, "MAINTENANCE AND
REPAIR OF GROUNDS AND STRUCTURES".
WHEREAS, the air conditioning equipment in place at City Hall, the Police
Station, and the Public Works yard combine for a system of significant size; and,
WHEREAS, this system requires preventative maintenance and occasional
repairs; and,
WHEREAS, the City's air conditioning system is not currently under any type
warranty or maintenance program; and,
WHEREAS, City personnel can perform minimal preventative tasks on the
system such as periodic filter changes, but is not equipped nor trained to provide
professional maintenance and repair service; and,
WHEREAS, the Public Works Department has identified a qualified and
reputable air conditioning maintenance firm through a price bidding process.
NOW THEREFORE, BE IT RESOLVED BY THE MAYOR AND CITY
COMMISSION OF THE CITY OF SOUTH MIAMI, FLORIDA.
Section 1. The City Manager be, and is hereby authorized to enter into a
service agreement with Central Service and Supply, Inc.
Section 2. The above referenced agreement will entail that Central Service
provide one complete annual preventative maintenance. service of the City's air
conditioning system at no charge; in conjunction with this, all required repairs
during the term of the agreement will be performed by the vendor.

CONTRACT - CITY BUILDINGS
The attached resolution seeks approval of an agreement between the City of South Miami
and Central Service and Supply, Inc. for maintenance and repair of the air conditioning
systems in City buildings. Taken collectively, the air conditioning equipment in the five
largest City -owned buildings represent a system of significant size and complexity.
Consequently, the proper degree of maintenance is required to keep the equipment in
good working order and maximize its useful life.
Price quotes were solicited from several qualified vendors in the area, including those in
the City's vendors list. The agreement proposed was for one annual preventative
maintenance service at no charge, in exchange for which all required repairs would be
performed by the chosen vendor on a time and material basis. Minor maintenance
throughout the year (mainly filter changes and inspections) will be performed by City
staff. Two of the vendors approached agreed to participate in this arrangement: Central
Service and Supply, Inc. and REA Air Conditioning, Inc. Both proposals were identical,
since they involve the free annual service and an undetermined cost during the agreement
period. The proposals are attached.
