The City's Parks and Recreation Department desires to continue to provide City residents with an all-inclusive program guide that features upcoming programs, activities and special events. The program guide covers October through March and April through September program cycles. A total of 3,200 guides will be printed per cycle (or 6,400 per year); 3,000 will be mailed to residents and the remaining 200 guides will be available at City facilities and manned parks, for example, City Hall, Gibson- Bethel Community Center, Dante Fascell Park. By way of a formal competitive process, the City submitted an Invitation to Quote (lTQ) #PR2017-12 on Monday, May 8,2017 for "Program Guide for Parks and Recreation Department." Two (2) proposals were received; PCA was the lowest bidder and is in compliance with the terms of the ITQ. A contract will be awarded for a one (1) year period. At the discretion of the City Manager, the contract may be extended for four (4), one (1) year option-to- renew, for a total of five (S) consecutive years. The City will pay Printing Corp. of the Americas, Inc. ("PCA") $S,794 for services outlined in ITQ #PR-2017-12. According to Addendum #2, respondents shall only include postage for year 1. Due to uncertainty in future postage costs, PCA shall invoice the City for actual postage costs for each program cycle during years 2 through S. City staff consulted with the contractor's references as to hands on experience and received positive feedback.
