No. 147-97=10117RESOLUTION NO,147-97-10117 A RESOLUTION OF THE MAYOR AND CITY COMMISSION OF THE CITY OF SOUTH MIAMI,FLORIDA,RELATING TO PURCHASE OF COMPUTER EQUIPMENT,AUTHORIZING PAYMENT TO DELL COMPUTER CORPORATION,IN THE AMOUNT OF $9,141.00 FOR PURCHASE OF MULTI-MEDIA NOTEBOOK COMPUTER AND PROJECTOR,WITH DISBURSEMENT PAID FROM ACCOUNT #01- 2100-643 0 "NON-DEPARTMENTAL,OPERATING EQUIPMENT." WHEREAS,the administration wishes to improve the technology with which we create presentations to the Commission and the general public;and WHEREAS,the computer network presently in use by most departments within city hall includes presentation software compatible with the equipment we propose to purchase;and WHEREAS,administration is utilizing Dade County Bid #1059- 2/98-2-OTR-CW for this purchase;and NOW THEREFORE BE IT RESOLVED BY THE MAYOR AND CITY COMMISSION OF THE CITY OF SOUTH MIAMI,FLORIDA: Section 1.The City Commission hereby authorizes the CityManagertodisbursepaymenttoDellComputerCorporationin the amount of $9,141.00 for purchase of multi-media notebook computerand projector.Payment willbedisbursedfromaccount# "Non-departmental -Operating Equipment." Inordertobetterutilizepresentationsoftwarecurrentlyavailabletothe city's network users,we proposetopurchasetheabove referenced equipment which will allow staff tocreate professionalpresentationsthatwillbeprojecteddirectlyfromthe computer tothescreen.This eliminatesthe necessity toproducetransparenciesor 35mm slidesforpurposes of presenting information tothe Commission andgeneralpublic.This will be useful toall departments,and canbeeasilytransportedtodopresentationstogroupsoutside of CityHall. This equipment willincreaseourabilitytoproduceprofessionalpresentations,and will savea greatdeal of time that would benecessarytoproducematerialssuchastransparencies,etc.for presentationpurposes. CITY OF SOUTH MIAMI To:Diana Morris Date:July 11,19997 AssistanttoCityManager From:Slaven Kobola,AICP Re:Presentation equipment Planner Proposed isthe following equipment for creating and displaying presentations inthe Commission Chambers: •DellLatitudeXPiCD Notebook,$4,386; •Proxima Lightbook 20,$4,755. The proposed computer,aside of being used for presentations,will allow tobe shared by different users at different locations,like staff participating at public hearings,part-time and intern employees,staff workingremotely (onsite),on"as needed"bases. The cost of equipment reflects the high quality of the equipment responding to the following high presentation demands: •The projector has to provide high brightness,pixelization,and color range to satisfy the audience that maygoover 100 people.Itistobenotedthatthe evaluations incomputer magazines,aswellasthe "target audience"specifications by manufacturers,donot advise theuse for such large audiences,or ifthey do,itwouldbeonlyavery limited number of high-priced projectors ($15,000 and more). However,wesawatthe demonstration that the projector with characteristics similar tothe proposed one would bepretty acceptable forouruse. •Thecomputerhastoprovidehighprocessingpowerinordertoallowtheuse of advanced presentationsoftware (with animationcapabilities). Inaddition,theprojector'smaintenancewillbeprettyhighduetoanestimatedcost of aboutonedollar perhour of operation.Thiscostcomes primarily from theneedto replace the projector's lamp,nomatter whichonewouldbeusedbythe projector:standard halogen projection lampscost $10 to$50,andhave 30-to 40-hour useful lives;andmetal halide lamps cost$350to$400,andhavelife spans rated at350to 700 hours.
