SoutOOiami CITY OF SOUTH MIAMI OFFICE OF THE CITY MANAGER INTER-OFFICE MEMORANDUM THE CITY OF PLEASANT LIVING To: FROM: Via: DATE: SUBJECT: BACKGROUND: The Honorable Mayor & Members of the City Commission Steven Alexander, City Manager Quentin Pough, Director of Parks & Recreation I ~ November 15, 2016 Agenda Item No.:b A Resolution authorizing the City Manager to procure online registration module of ReCPro with R.C. Systems, Inc. The City entered into an agreement with R.C. Systems, Inc. on June 11, 2014 for its Recreation Software Solution System, also known as ReCPro, after completing a competitive bid process. At this point, to honor our June 11th approved maintenance and support agreement, the City can only obtain such services from R.C. Systems. This software allows the department to increase activity and program registration efficiency, avoid facility reservation conflicts, manage point of sale inventory, process payments using multiple payment methods, improve customer services and satisfaction, increase public awareness using e-mail marketing tools, evaluate data and make informed decisions by using statistical reporting. In order to better serve the public, City staff is requesting approval to procure and install the online registration module to ReCPro. The Department budgeted $7,500 for this upgrade. The total expense for the online registration module is $6,750. The City's present server/hardware/operating system can support online registration. Furthermore, the online registration module will completely integrate with the current ReCPro application software used by the City. It will provide residents and others to real-time access to online services, such as facility reservation and program registration, offered by Parks and Recreation through a link on the City website and can be accessed through different platforms including computers and smartphones. Other municipalities which have instituted use of online registration services have seen an increase in program registrations and facility reservations done online, freeing staff for other tasks. Staff contacted several local municipalities using ReCPro online services and found that THE CITY OF PLEASANT LIVING Vendor: Amount: Account: ATTACHMENTS: CITY OF SOUTH MIAMI OFFICE OF THE CITY MANAGER INTER-OFFICE MEMORANDUM everyone was pleased with the system. Other local municipalities currently using ReCPro online services include City of Satellite Beach, City of Palm Beach and Town of Belleair. R.C. Systems, Inc. The expenditure in the amount of $7A25 shall be charged to Contractual Services account number 001-2000-572-3450, which has a balance of $34,704. Resolution for approval R.C. System, Inc.
