The individuals being named above do not all have email on the City’s
email server and therefore a search of any calendar is not available to
me. The analysis on this email pertains to:
Philip K. Stoddard, Valerie Newman, Walter A. Harris, Bob Welsh, Jr.,
Josh Liebman, Hector Mirabile, Thomas Pepe and Christopher Brimo. Each
of these would require:
Setup of profile for extraction: 5 Mins x 8 = 40 Mins
Extraction of calendar items into pst: 5 Mins x 8 = 40Mins ( this
number varies and is directly dependant on the total number of items in
the calendar)
Luigi Vitalini, Dean Whitman, Claudia Rauh, Jorge Cruz, Sally B.
Philips, James Dundorf, Yvonne Beckman and/or their staffs
These individuals email is not handled through the City’s email system
and therefore I could not pull any information on them. I would like
clarification on the and/or staffs as to whether it pertains to the
City’s entire staff or to staff that works directly under those
individuals listed only.
The City currently counts 175 email boxes and in order to produce a
calendar archive of each it would be at a cost of:
Per mailbox: 5 mins x 175 = 875 Mins ( 14.5 Hours)
Extraction of calendar items into pst: 5 Mins x 175 = 875 Mins (14.5
Hours) ( this number varies and is directly dependant on the total
number of items in the calendar)
Any ex-employees who’s departure from the City would have fallen within
that time range would also require review and that email would need to
be taken into consideration as part of the total time.

Regarding number 8, that would be idc. I will ask them to conduct an
estimate. Emily, please conduct an analysis of the time and costs
associated with performing the request for the Outlook calendars of the
below described group in question 8.
Regarding the second part of # 8, the answer is no unless it is the log
of public speakers at the commission meetings and board meetings which
the Clerk and Mr. Brimo (P & Z) meetings would have.
Regarding question 10, that would be Mr. Brimo.

IT informed me that this amounts to approximately 1,000,000 pages of

8. Please provide all calendars and visitors' logs for

Planning Board members, the City Manager, City Attorney and/or Planning
and Zoning Director?
9. Please provide a current zoning map of the City.
