A Resolution authorizing the City Manager to expend with America Service Air
Conditioning Contractors Inc. in the amount of $11,385 for the air conditioning work in
the Sylva Martin renovation to be charged to account 301 - 1790- 519 -6450.
WHEREAS, the Mayor and City Commission wishes to renovate the interior of the Sylva Martin
building; and
WHEREAS, the City solicited and received quotes from air conditioning contractors for air conditioning
work to be performed inside the Sylva Martin building; Pursuant to an evaluative process, it was determined that
America Service Air Conditioning Contractors, Inc. submitted a proposal in the amount of $9,900 that is
comprehensive and cost effective in its design approach. Flow Tech Air conditioning Corp and Sunshine State
Air Conditioning, Inc submitted proposals of $9,950 and $11,778 respectively; and
WHEREAS, the work shall consist of providing additional air conditioning duct work to the interior of the
Sylva martin building; and
WHEREAS, the City desires to provide a 15% contingency over the proposal amount of $9,900, for
unknown factors that may arise during the work for an amount of not to exceed $1,485. The total amount for the
contract including the contingency amount is not to exceed $11,385: and
WHEREAS, it is the desire of the Commission to approve the cost of the air conditioning work to an
amount not to exceed $11,385; .

NOW, THEREFORE, BE IT RESOLVED BY THE MAYOR AND CITY COMMISSION OF THE CITY OF
SOUTH MIAMI, FLORIDA:
Section 1: The City Manager is hereby authorized to expend with America Service Air Conditioning
Contractors, Inc. for the air conditioning work inside the Sylva Martin building for an amount not to exceed
$11,385, including the contingency amount.
Section 2. The expenditure is charged to Capital Improvement Program Account Number 301 -1790-
519 -6450 with an account balance of $145,000.
Section 3: If any section clause, sentence, or phrase of this resolution is for any reason held invalid or
unconstitutional by a court of competent jurisdiction, the holding shall not affect the validity of the remaining
portions of this resolution.
Section 4. This resolution shall become effective immediately upon approval by the City Commission.

Resolution: A Resolution authorizing the City Manager to expend with America Service Air
Conditioning Contractors, Inc. submitted a proposal in the amount of $11,385 for the
air conditional duct work in the Sylva Martin renovation to be charged to account 301-
1790- 519 -6450.
Background: The City is undergoing interior remodeling of the Sylva Martin building, which will be used to
house several of the City's departments. As part of the renovation, air conditioning duct work
is needed to properly distribute the flow of air to accommodate the work stations and
equipment for each department.
The City solicited quotes from qualified vendors for proposals to perform the air conditioning
work. The proposals received are shown below:
America Service Air Conditioning Contractors, Inc. $9,900
Flow Tech Air conditioning Corp $9,950
Sunshine State Air, Conditioning, Inc. $11,778
Upon further review of the proposals, it was determined that America Service Air Conditioning
Contractors, Inc. was the lowest, most responsive and responsible bidder for the project.
Due to the nature of the work, there may be unknown factors that may arise. To account for
this, a 15% contingency of over the proposal amount of $9,900 is requested, with a
contingency amount not to exceed $1,485. The total amount for the contract, including the
contingency amount is not to exceed $11,385.

Account: The expenditure is charged to Capital Improvement Program Account Number 301- 1790 -519-
6450 with an account balance of $145,000 before this request was made.

Project: Alteration interior (plans and ductwork)
I am pleased to present you with our proposal/ contract for Alteration interior to existing, Air
Conditioning ductwork, and ductwork plans design at the above reference location. We propose to
furnish all materials, labor, necessary to complete the following, as per approved plans.
Already condition building space (kitchen, bathrooms, open space) by 6.5 tons unit.
1. PLANS SCOPE OF SERVICES AND RESPONSIBILITIES OF ASACC,INC.
1. Design and Develop interior ventilation ducts, for existing office space.
2. New ducts installation details,
3. Specify schedule of EXISTING AC equipment, exhaust fans. Drain, ducts.
4. 2 sets of Air conditioning Construction plans, sign.
5. Plans design shall comply with FBCM 2010.
2. SCOPE OF WORK /BREAKDOWN
installation of new air condition ductwork, for open office area, connect to
existing ductwork.
MATERIALS
50 feet of 16" Round Spiral ducts double wall with 2" liner (R -8) Pounds: 850
2 -45 % off set, 8 diffuseri2x6, 250 CFM each,
hangers, mastic, connection to existing duct work,
Installation shall comply with Fl3CM 2010, and
SMACNA HVAC METAL, DUCTS CONSTRUCTION STANDARS.
WARRANTY
Contractor warranty will be one year from the date of the installation, new installation only.
EXCLUSIONS
All PERMIT, FEE for plans, cutting, patching and sealing, electrical, alarm system and accessories,
painting, fire proofing, masonry work, fire caulking and trash chute, Fire
stopping concrete slab, Test and balance.

By signing this proposal/ contract you are signing a personal guarantee.
Quotation valid for sixty (60) days.
Contract price is based on standard insurance requirements as required by the state of Florida.

UNDERSTAND THAT CHANGES IN OCCUPANCY, REMODELING, BUILDING MAINTENACE PROCEDURES AND OTHER FACTORS COULD.HAVE A SIGNIFICANT EFFECT ON INDOOR AIR
